What workers see when they scan your site QR code
Visitors and subbies get the induction in their browser with no login. Your logged-in crew are taken into the app. Here's each path, screen by screen.
When a visitor or subbie scans a Foreman site QR code, the site induction opens in their phone's browser. There's no app to download and no login. They read the site's documents and the declaration, fill in their details, sign with a finger and tap Submit induction. Anyone who is logged in to Foreman, whether crew, Site Manager or Admin, is taken into the app instead.
After that, it depends on who's scanning and which poster they scanned.
Visitors and subbies: the site poster
The "Site Induction Required" poster goes straight to that site's induction. From top to bottom, the page shows:
- The site name and address, plus the site supervisor if the project has a Site Manager.
- Induction documents, with the note "Please review these before signing. Each one opens in a new tab." If you haven't uploaded any yet, it says so and tells them to ask the site supervisor for paper copies.
- The Declaration they're agreeing to.
- The form: Your name, Contact number, Company name, White Card number, Emergency contact name and Emergency contact phone.
- A signature box. They sign with a finger, or tap Clear to start again.
- Submit induction, which only works once they've signed.
They then see "Thanks, [name]. You're inducted for [site]", with the date and time and a line asking them to show the screen to the site supervisor if asked. Their record goes straight into the site's induction register.
Every site shows this form, even one with no documents uploaded. Foreman never asks visitors to create an account, and they never count as users on your plan.
Visitors and subbies: the company poster
The "Scan when entering the site" poster isn't tied to one site, so there's one extra step.
- They scan and see "Welcome to a [your business] site" with two buttons.
- They tap Visitor? Complete site induction.
- A page asks Which site are you at? and lists your active sites with their addresses.
- They tap the site they're standing at and get that site's induction, exactly as above.
If you have no active sites, the list says "No active sites right now." Anyone who scans the company poster can see the names and addresses of your active sites, so think about that before you put it somewhere the public walks past.
Crew who are logged in
Your own crew have Foreman logins, so the QR code handles them differently. Site Managers are treated the same as crew.
Company poster. A logged-in crew member goes straight to their Home screen. The company poster doesn't know which site they're at, so if your business checks in and out, the site picker starts on "Pick a site". A crew member who isn't logged in taps Are you crew? Log in. If they don't have an account, the login page tells them to ask their site manager or admin for an invite.
Site poster, if your business checks in and out. The site's QR code picks that site for them. If they haven't signed that site's induction before, the Site induction screen opens with their name and contact number already filled in. They read it, add the rest and sign, then tap Sign induction & check in. One tap signs the register and starts their shift, and they see "Inducted and checked in at [site]". After that, their check-ins at that site go straight through. If they've already signed, or they're still checked in, they land on Home with the site picked. See check in and check out.
Site poster, if your crew enter hours in the site diary. This is the default. A logged-in crew member who scans goes to their Home screen and isn't shown the induction. The induction form only shows to someone who isn't logged in, so in this mode your logged-in crew don't sign the register.
If a crew member scans the code for a site they aren't assigned to, Foreman ignores it and the picker reads "Pick a site".
Good to know
- Visitors sign every visit. Without a login Foreman can't recognise someone coming back, so a returning visitor fills in the induction again and you get a new record each time.
- Crew sign once per site, if you check in and out. Their signature is linked to their account, so they aren't asked again at that site.
- Double taps are safe. If a visitor taps submit twice on a patchy connection, only one record is saved.
- The link stops working when a project is archived. Anyone who scans its poster sees "This induction link isn't valid" and is told to ask the site supervisor for the correct link.
- Admins don't check in. If you're logged in as an Admin and open the induction link, you land in the app. Use a phone that isn't logged in to see the visitor view.
