How to find and export your site induction register
Every project keeps a register of who signed its induction and when. Here's where to find it and how to export it for an audit.
Each Foreman project keeps its own induction register: a list of everyone who has signed that site's induction, newest first. Open the project and tap View all on the Induction card to see it. For an audit, Download then Project data export (zip) gives you the register as a CSV file, along with the rest of the project's records.
Only Admins (any project) and the project's Site Managers can see the register. Site Crew can't.
Find who's been inducted
- Open Projects and tap the project.
- The Induction card shows the most recent people to sign, with their company and the date.
- Tap View all to open the full register, listed under Inducted visitors with a count.
- Tap any name to open that person's full record.
The list includes everyone who signed: visitors and subbies who scanned the QR code, and, if your business checks in and out, your own crew who signed when they first checked in at the site.
What each record shows
Each row in the list shows the person's name, company, contact number and the date they signed. Tap a row to open the full record:
- Company and contact number
- White Card number
- Emergency contact name and phone
- The site address as it was when they signed
- Their drawn signature
- The date and time they were inducted
Foreman also stores the Declaration wording each person signed against. If you edit the Declaration later, past records keep the version that person actually agreed to, and the same goes for the site address.
Export the register for an audit
- Open the project.
- Tap Download (on a phone, the download icon).
- Under Export, tap Project data export (zip).
You get a zip named after the project and the date. The register is the file induction_registrations.csv, with one row per signature and these columns: name, company, phone, White Card number, emergency contact name and phone, and when they signed. It opens in any spreadsheet app.
The same zip holds the project's site diary, tasks, form submissions, team and document list as separate CSV files, which is handy when an auditor or head contractor wants the lot.
Two things the CSV leaves out: the signature images and the IP addresses. The signatures stay in Foreman, on each record. If an auditor needs to see a particular signature, open that person's record and show them, or take a screenshot.
If something doesn't look right
- Someone appears more than once. That's expected. Visitors don't log in, so Foreman can't recognise a return visit, and every induction is its own record. Crew who sign at check-in only sign each site once.
- A record has a typo. Records can't be edited or deleted by anyone. That's why an auditor can trust it. If a visitor entered the wrong details, ask them to scan and sign again. The newer record sits at the top.
- The project is archived. The register is still there and can still be exported. No new inductions can come in.
- I can't see the Induction card. You need to be an Admin, or a Site Manager on that project.
Good to know
- Foreman doesn't expire inductions. Every record is kept, and the date on it tells you how long ago someone signed.
- Foreman doesn't notify you when someone signs. Check the register when you need it.
- There's no single register across all your sites in the app, and no PDF of an individual record. If you've connected an AI assistant, you can ask it to pull induction records across projects; see ask your AI assistant about your site.
