How to set up a site induction in Foreman

Every project has an induction that works from day one. You can change the declaration and add OH&S documents, but you don't have to.

Every Foreman project comes with a site induction the moment you create it. The QR code works straight away, and the form uses a default declaration until you change it. OH&S documents like a SWMS or your insurance certificates are optional. Add them when you're ready and visitors will see them before they sign.

An Admin can set up the induction on any project. A Site Manager can do it on the projects they manage. Site Crew can't change it.

What's in a Foreman site induction

Someone opening your site's induction sees it in this order, top to bottom:

  • The site name and address, plus the site supervisor if the project has a Site Manager.
  • Induction documents: the OH&S files you've uploaded for that project, each opening in a new tab. Optional.
  • The Declaration: the statement they agree to by signing. Every new project starts with standard Australian construction wording, so this is never empty.
  • The sign-in form: name, contact number, company, White Card number, emergency contact name and phone, and a drawn signature.

The form fields are the same on every site and can't be renamed or hidden. What you control is the Declaration and the documents.

Do I have to upload documents first?

No. Since 2 October 2026, every site shows the induction form, even if it has no OH&S documents and you've never touched the Declaration. The default wording is the induction until you add to it.

If you set Foreman up before then, you might remember a site with no documents saying no induction was needed. That's gone, and there's no setting to turn the induction off. A visitor who scans on day one can sign straight away. Where there are no documents yet, the page tells them to ask the site supervisor for paper copies.

Edit the declaration

The default declaration covers completing the induction, reviewing safety documents, site rules and hazards, providing a SWMS, and wearing PPE. Change it to suit the site, say with a line about keeping the neighbour's driveway clear.

  1. Open Projects and tap the project.
  2. On the Induction card, tap View all.
  3. Edit the Declaration box. The first line is the opening sentence. Each line after it becomes one numbered point.
  4. Tap Save declaration.

You need an opening line and at least one point, or Foreman won't save it. Changes apply to this project only, so each site can have its own rules.

Add OH&S documents (optional)

Anything you upload to a project's OHS Information library appears on that site's induction, above the Declaration. The usual ones are a SWMS, a site safety plan, emergency procedures, safety data sheets and insurance certificates.

  1. Open the project.
  2. On the OHS Information card, tap + Upload.
  3. Pick one or more files. PDF, JPG and PNG are accepted, up to 25 MB each and 20 files at a time.
  4. Choose a folder if you want one, then confirm the upload.

Documents in folders show under the folder name on the induction page. Nothing is hidden behind a tap, so visitors can see everything they're signing for.

Anyone with the site's induction link can open these documents. That's on purpose, because visitors need to read them. Keep plans, contracts and anything private in Project documents instead, which only logged-in crew on the project can see. See project information and documents.

Adding longer induction text

If you want a written induction (site hours, parking, where the first aid kit is), it appears as an Induction section above the documents. This text is optional too. There's no editor for it in the app. You set it by asking a connected AI assistant to update the project's induction, or through the Foreman API; see connect ChatGPT or Claude. If you don't want to do that, put your site rules in the Declaration points or upload them as a PDF.

Good to know

  • Editing the Declaration only affects people who sign after you save. Every past record keeps the exact wording that person signed.
  • There's no way to copy an induction from one project to another. Paste your wording into each new project.
  • On an archived project the induction can't be edited and the link stops working.
  • To see what a visitor sees, open the induction link on a phone or browser that isn't logged in to Foreman. If you're logged in, the link takes you into the app instead.

Frequently asked questions

Do I need to upload OH&S documents before the induction works?
No. Every Foreman site shows the induction form from the moment the project is created, even with no documents and no changes to the declaration. The default declaration is the induction until you add to it. Documents like a SWMS or insurance certificates are optional. If you add them, visitors read them before signing.
Can I turn the site induction off for a project?
No. Since 2 October 2026 every active site in Foreman has an induction, and there is no setting to switch it off. Visitors who scan the QR code can always sign, and crew who check in sign once per site. Archiving a project is the only thing that stops its induction link working.
If I change the declaration, does it change past inductions?
No. Changes only apply to people who sign after you save. Every past record in the induction register keeps the exact declaration wording and site address that person signed against, so your audit trail shows what each person actually agreed to.
Who can edit a site induction in Foreman?
An Admin can edit the induction on any project. A Site Manager can edit it on the projects they manage. Site Crew can read the site's OH&S documents in the app but can't change the induction or upload documents.
