How to add your crew and site managers to Foreman
Add someone in a minute from the project page, hand them their password, and they're logging on site the same day.
To add someone to Foreman, an Admin enters their name, email, role and an initial password, and picks at least one project. They can log in straight away with that email and password. Foreman emails them their login details, but pass the password on yourself as well, by text or in person, so they're not stuck at the gate.
They don't accept an invite or download an app. They open Foreman in their phone's browser, log in, and the projects you assigned are waiting.
Only Admins can create users. A Site Manager can put people who are already in Foreman on the projects they run, but can't create new ones.
Add a new person from a project
Quickest way when someone is starting on a particular job.
- Open the project.
- In the Team card, tap Edit.
- Tap Add member, then Add new user.
- Enter their Name and Email.
- Leave Role as Site Crew, or pick Admin for someone in the office.
- Type an Initial password (at least 4 characters).
- Check the project is ticked under Assign to projects, and tick any others they'll work on.
- Tap Create user.
- The User created screen shows their email and password. Send these to them, then tap Done to go back to the project.
Pick a password that's short enough to type with dusty thumbs. They can change it under Account > Change password once they're in.
You can also add people from Settings > Users > New user. Same form, different door.
Put someone already in Foreman on a project
- Open the project.
- In the Team card, tap Edit.
- Tap Add member and pick their name.
The project shows up on their phone next time they open Foreman. To make them a Site Manager on this project, tick Site manager next to their name. See what each role can do.
Take someone off a project
- Open the project and tap Edit in the Team card.
- Tap the cross next to their name.
- Tap Remove to confirm.
That project drops off their phone. Anything they logged there stays on record, including diary entries, form submissions and finished tasks.
When someone leaves the business
Taking someone off a project still leaves them able to log in. To cut them off completely:
- Go to Settings > Users and open the person.
- Tap Revoke access.
- Tap Revoke to confirm.
They're signed out on every device and can't log back in. Nothing they recorded is deleted, and their name stays on their past entries. If they come back next season, open them and tap Reinstate, and their old password and project assignments come back with them.
On the paid plan, revoking is also what takes someone off your bill. Removing them from projects won't do it. See Free plan and paid plan.
If something doesn't look right
- "A user with this email already exists." That email already has a Foreman login. If the person is already in your account, use Add member on the project instead, or open them in Settings > Users and tap Reinstate if you revoked their access. An email can only belong to one Foreman account, so if they're set up with another business, add them with a different email address.
- They forgot their password. There's no reset link to email themselves. Open them in Settings > Users, tap Reset password, type a new one and pass it on. They'll be signed out everywhere and need the new password.
- They have no email they check. That's fine. The password you give them is what gets them in, and the email is just a backup.
- They logged in and see no projects. They aren't assigned to an active project yet. Add them from the project's Team card.
- Subbies just doing the induction don't need to be added at all. They scan the QR code at the gate. See how to induct a subcontractor.
Once they're in, crew can start logging hours and photos in Foreman's site diary.
