How to read and filter Site diaries
One status per row, a tag only when something needs a look, and filters that carry straight through to the export.
Site diaries lists every diary you can see, newest day first. Each row shows who, where, when and how many hours, plus one tag when something needs a look. Tap Filter to narrow the list down, and tap a row to read the whole entry. A project's own Site diary works the same way, for that site only.
What's on a row
A typical row: Jack Thompson, 42 Hawthorn Reno, 6:58 am – 3:04 pm, "Kitchen rough-in started", 8h 06m.
The status icon and the times only show if your business records hours by checking in and out. If you enter hours in the diary, every row is typed by hand, so there's nothing to tell apart.
What the status icons mean
| Icon | Status | What it means |
|---|---|---|
| Half-filled orange circle | Checked in | On site now. Hours count up until they check out. |
| Green tick | Checked out | Checked in and out. Hours come from their times on site. |
| Amber exclamation mark | No check-out | Never checked out, so the day closed itself after 12 hours. Hours read Not set until someone sets them. |
| Dotted circle | Manual | Hours typed in by hand, not from a check-in. Shows Entered by hand instead of times. |
Hover over or press an icon to see what it means.
People checked in right now sit at the top, under Checked in today.
Off site and No location
Most rows have no tag. That means every location reading was on site.
- Off site: the check-in, the check-out, or the phone when the entry was logged, was outside the site.
- No location: there was no reading, because the phone didn't share one or the project has no address.
Tap the tag to see how far from the site it was, how accurate the reading was, and the spot on Google Maps.
Filtering the list
Tap Filter, pick a filter, then a value. Tapping a value shows only that one. Ticking the box beside it lets you pick several.
You can filter by Dates (all time until you pick, or Custom range…, where you pick a From and a To date and tap Apply), Project, Site crew, Status, Location and Photos. The number beside each value is how many diaries it would leave. Each filter you set shows as a chip. Tap × to clear it.
Export uses exactly the filters you've set.
Reading an entry
On a computer, an entry opens beside the list, so you can read one after another. Use the arrows at the top of it, or press J and K. Esc closes it. To open it as its own page, use the expand icon.
On a phone, an entry opens full screen. Either way, the link in the address bar opens the same entry, so you can send it to someone who also has access.
